Signing is still the slowest step in sending an invoice

In most finance teams the process looks like this. Someone generates invoices or statements, plugs in a USB signing token, opens each PDF, signs it, saves it, attaches it to an email and repeats.

At 20 documents a month that's a chore. At 2,000 it's a full-time job, and it can stop dead when the token is at someone's desk, the person holding the PIN is on leave, or the token driver breaks after an update.

Automated signing has existed for years, but mostly for companies with the volume and the budget to build it. Everyone else still signs by hand.

One PDF at a time

Manual signing grows with every invoice you raise. It doesn't scale with the business.

Tied to a USB token

Signing only happens where the token and its PIN are.

No trail

Who signed what, and when? Usually buried in someone's sent folder.

How it works

From certificate to signed batch in four steps

  1. Get your organisation's signing certificate

Buy a Document Signer Certificate (a .pfx file) from one of our certificate partners. They handle the KYC and paperwork. We help you pick the right one.

    Already have one? Skip ahead.

  2. Upload it to Ambill once

Your certificate is encrypted the moment it arrives. We never store its password. Ambill shows you the issuer, the serial number and the expiry date.

  3. Select documents and sign them in bulk

Upload PDFs or pick invoices already in Ambill, choose where the signature goes, enter your certificate password and sign the whole batch. Hundreds of documents at once, with live progress. Download the signed files individually or all together.

  4. Recipients verify with one link

Every signed document carries a short verification link in its signature stamp. Your customer's finance team opens it and sees who signed it, when, and whether the certificate was valid. They don't need to log in.

Coming soon: sign automatically whenever an invoice is generated, and a signing API for your ERP.

Features

Built for finance teams that sign at volume

Bulk signing

Sign hundreds of documents in one go. Enter your certificate password once per batch, not once per file.

Verification link

Each signed PDF carries a short printed verification link to a public page showing the signer, the time of signing and the certificate's validity. No second QR code to clash with your e-invoice IRN QR, and fewer "is this genuine?" emails.

Audit trail

Every certificate upload, signing batch and signed document is logged: who, what, when, and with which certificate.

Certificate expiry alerts

We warn you 30, 15 and 7 days before your certificate expires, and point you to a partner to renew it.

Works with Ambill invoices and any PDF

Sign invoices generated in Ambill, or upload any business PDF: statements, credit notes, TDS certificates, letters, contracts.

Signature placement

Put the visible signature bottom-right or bottom-left on the last page, or make it invisible.

Coming soonAuto-sign

Opt in to have invoices signed the moment they're generated.

Coming soonSigning API

Sign documents straight from your ERP or product.

Security

Your signing certificate is the most sensitive file you own. We treat it that way.

A signing certificate lets someone sign on behalf of your company. Here's how we protect yours.

  • Encrypted at rest.

Certificates are encrypted with AES-256-GCM, using per-file keys protected by AWS Key Management Service (envelope encryption).

  • Password never stored.

You enter the certificate password each time you sign a batch. It's used in memory for that batch and then discarded.

  • Strict tenant isolation.

Your certificate and documents are only reachable from your organisation's account.

  • Role-based access.

Choose which users can view documents and which can sign.

  • Full audit trail.

Every upload, signing run and download is logged.

  • Audited controls.

Ambill is SOC 1 Type II certified.
